Event Planner Policy

This policy applies to event companies that subscribe to Eventzloop and operate a tenant (“Event Planners”). It complements the Terms of Service with rules specific to running a multi-user tenant.
1. Your tenant
When you sign up as an event company, you create a tenant on Eventzloop. You are the owner of that tenant and responsible for the conduct of every sub-admin, vendor, team member, and customer record you add to it. You are the data controller for the customer data inside your tenant; Eventzloop acts as the data processor.
2. Customer data you upload
You agree that:
- Every customer phone number or email you upload comes from a real, consenting customer of yours.
- You will not use Eventzloop to send unsolicited marketing.
- You will respect customer deletion requests — either delete the record yourself or forward the request to Eventzloop support.
- You will not upload sensitive personal data (Aadhaar, PAN of non-business persons, health data) into free-text booking notes.
3. Vendor and team management
- You set the commercial terms (price, payout schedule, scope) with each vendor.
- You are responsible for paying your vendors and team members on time.
- You will not retaliate against a vendor or team member for raising a payment dispute through Eventzloop.
- Sub-admins you invite act on your behalf and you are responsible for their actions inside the tenant.
4. Verified documents and trust badges
You can voluntarily upload business documents (PAN, GST certificate, business registration, address proof, owner ID) for super-admin verification. Once approved, your tenant displays a “Documents Verified” badge on your profile and customer-facing surfaces. Misrepresenting documents or impersonating another business is grounds for immediate suspension.
5. Subscription and billing
- Subscription is required to keep paid features active. See the Refund Policy for refund rules.
- If a subscription lapses, your booking data is hidden until you renew. A 7-day grace period applies before lock-out.
- Customers, vendors, and team members of an expired tenant continue to use their own accounts normally; only the owner is locked out of tenant data.
- Eventzloop takes a 2% platform fee on add-on services sold through the platform. The fee is calculated transparently and reflected in your payouts.
6. Reviews and reputation
Customers can leave reviews tied to verified bookings. New tenants may collect up to 10 reviews from existing customers (internal reviews); after that, the review system opens to broader public reviews. Manipulating reviews, paying for reviews, or coercing customers is grounds for suspension.
7. Acceptable use
You agree not to:
- Resell Eventzloop access or white-label the product without a written agreement.
- Attempt to access another tenant’s data or bypass row-level security.
- Use the platform to coordinate illegal activity, fraud, or money laundering.
- Upload illegal, defamatory, or copyright-infringing content.
8. Suspension and termination
Eventzloop can suspend or terminate a tenant for:
- Breach of §7 (acceptable use) or §2 (customer data).
- Verifiable pattern of customer fraud complaints.
- Misrepresentation of verified documents.
- Non-payment of subscription fees after the grace period.
On termination we keep tenant data for up to 6 months in case of legal or financial follow-up, then purge.
9. Closing your tenant
You can close your tenant from the dashboard. Before closure, export your bookings, customers, and invoices using the Export action. After closure, vendor and customer accounts that were attached to your tenant are unlinked but their own logins continue to work.
10. Data and privacy
Personal data is handled per the Privacy Policy and Data Policy. As the data controller for your tenant, you must respond to data-access and deletion requests from your customers within the timelines required by the DPDP Act 2023.
11. Changes
We update this policy; the “Last updated” date will reflect changes and material changes will be announced in-app for 30 days before taking effect.
